Summary

This documents details the interactions between workers and the platform while logging the timesheets from its initiation until the placement ends

Guiding principles

Mobile efficient
Data shows that over 66% of the current interactions between worker and platform has been on mobile. Hence the proposed method of communication is primarily texting using the standard SMS technology.

Non intrusive
Small bites of information aimed to arrive at the right time so that the worker can immediately take the necessary actions and deal with the matter as they live their life.

Human feel & engaging
Keeping the worker engaged has to come first and everything should be crafted around that. This means it’s better to break the comms into a couple of small texts sent with intervals rather sent it all once in a bulk.

Super simple, easy and quick 
Every interactions should be made really simple, and easy to understand at a quick glance. If there is any form that the values of its fields can be smart-defaulted i.e. based on previous entry or data from somewhere else like placement info, those values should be pre-populated so that the user doesn’t need to type in. On the same note however, options to make any changes should be made prominent, easy and straight-forward to do.

First time interaction with the online timesheet

Objectives
  • To onboard Gary to the online timesheet 
  • To remind Gary to enter his hours for the day
  • To ensure Gary indeed enter his hour for the day

Context
Gary starts his first day on the site. About half hour to an hour after he finishes he receives a text message from the platform

User interaction
The text received by Gary reads:

  • Hi Gary,
  • I am Liz, your Timesheet assistant. Hope you had a great day.

  • Please enter your daily timesheet here: 

  • Entering your timesheet cannot be easier!
  • Liz

Expected outcome
Gary would read the message, tap the link, enter and save his hours. A login may be needed, but upon successful login, he will be taken directly to the following screen:

The screen shows the mobile web app interface of timesheet that a worker would get every time he enters their hours. The layout is structured so that he would immediately understand he is in on a timesheet app as the main bar across the top will unmistakably tells him.

The timesheet is for the current week as stated by the heading and he is on the 4th Apr - the first day of the week.

The form is pre-populated based on the placement info so that if the information is correct, all he needs to do is tap “Save” to log his hour, making it very easy for enter his hours.

Alternatively, if he were to make any changes, the coloured down-chevron icons should be just enough to provide a visual clue and select a different value once it’s tapped.
